Optagon LTD, registered in England and Wales with company number 07089512, whose registered office address is at Unit 4 Swallowgate Business Park, Holbrook Lane, Coventry, West Midlands, England, CV6 4BL  is the controller and responsible for your personal data (collectively referred to as "Optagon Ltd", "we", "us" or "our" in this privacy policy).

Data collection

Optagon Ltd may collect personal information which we receive when:

  • you use our website
  • you use our services
  • you contact us or
  • you are a recipient of our services.

We may collect, use and store the following types of information:

  • your name, address, email address, telephone number(s) and other contact details
  • information required to provide you with a service, and details of our services that you have used
  • your company’s name, your position in the company; the company’s address, company’s email address and telephone number
  • your payment information such as credit or debit card details and bank account details (NB we do not collect, use or store any payment information when you visit our website).

We do not collect any special categories of personal information about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health, and genetic and biometric data). Nor do we collect any information about criminal convictions and offences.

If you fail to provide personal data

Where we need to collect personal data by law, or under the terms of a contract we have with you, and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you (for example, to provide you with goods or services). In this case, we may have to cancel a product or service you have with us but we will notify you if this is the case at the time.

Optagon Ltd use cookies to collect standard internet log information in order to determine visitor behaviour patterns. Optagon Ltd uses a third-party service, Google Analytics, to assist with determining a visitor’s behaviour pattern. This information is processed in a manner that does not identify anyone, nor do we allow any third-party service any attempt to find out the identities of those visiting our website.

If Optagon Ltd require personally identifiable information the correct process will be taken to collect and process this information and will be upfront with visitors.

Optagon Ltd is committed to keeping customers’ personal information secure to protect it from being inappropriately or accidentally accessed, used, shared or destroyed, and against it being lost. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

Disclosures of your personal data

We do not, and will never, sell your personal information to third parties.

We will only share your personal data for the purposes specified in this privacy policy, including where doing so is required to fulfil your order. This may include when products are distributed direct from suppliers and our own logistics partners.

How long do we keep personal information?

We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements. We may retain your personal data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation in respect to our relationship with you.

By law we have to keep basic information about our customers (including contact, identity, financial and transaction data) for six years after they cease being customers for tax purposes.

If we collect your payment information over the telephone or face to face, we only retain the hard copy for a maximum of 48 hours.

In some circumstances we may anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.

No fee usually required

You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we could refuse to comply with your request in these circumstances.
